Obtaining transcripts and provisional degree certificate

Today, I am writing about how to obtain transcripts from your university exclusively for Indian students. This post can be used as a resource by students of any university since the procedures are almost the same. If you are from Visvesvaraya Technological University Belgaum, then this post is exclusively for you.

In case you are planning for your further studies, then the university to which you are applying to, will require you to submit your university transcripts and degree certificates. In case you do not have your degree certificate, you can submit your provisional degree certificate.

There are three methods by which one can obtain university transcripts and provisional degree certificate.
1.  Applying to the university in person
2. Applying at the VTU regional centers
3. Applying by mailing your documents to the university.

Applying in person:
This is the fastest way of obtaining your transcripts and pdc.
Get a demand draft from any nationalized bank and go to the university or the regional centers. VTU has four regional centers: Belgaum (university), Gulbarga, Mysore and Bangalore. Forms will be available at these centers only. Fill out the forms, enclose your DDs and submit it at the office. You don't have to submit xerox copies of your marks cards if you are applying in person. Also remember to carry your ID such as passport, college ID, voter ID, PAN card, driving license etc.

In case any of your parents or friends are applying on your behalf, then write an authorization letter duly signed by you and ask your representative to submit this authorization letter along with the application. Also ask them to carry your ID in addition to theirs.

If you were not able to get a DD prior to going to the university, then you don't have to worry. There is a State Bank of Mysore branch in the University campus. You can get your DD from there.

Remember to submit your application within 12 pm to receive your documents on the same day. The pdc and transcripts will be given at 4 pm in the evening. Don't forget to carry your ID.

Applying via mail:
In case you are not able to visit the university or the regional centers, then you can send in the photocopies of your marks cards (1st to 8th sem) along with the application forms and demand draft. The application forms for pdc and transcript can be downloaded from the university website or are available at your college.

Download application form here.

Send in your documents, DD and application form to the following address:

The Registrar (Evaluation)
Visvesvaraya Technological University
"Jnana Sangama", Machhe, Belgaum
590018.

Receiving your pdc and transcript can take up to 1 month by mail depending on where you are residing.

If you are applying for a provisional degree certificate only, then you don't need to submit  photocopies of your marks cards.

Fees for pdc and transcript:

Pdc: 200 INR submitted in the form of DD.

Transcript: for the first transcript it is 250 INR and for the subsequent copies it is 150 INR each.
So if you want 3 copies of your transcript then you will have to pay 250 INR for the first copy and 150 INR each for the other two copies.

Fee for transcript can be calculated as 250+(n-1)*150, where n is the number of subsequent copies you require.
